It’s Now Easier to Update Policyholder Info Before Renewal

Keeping policyholder information current is more than a housekeeping task—it’s essential for smooth renewals, accurate pricing, and fewer surprises. When details like owner names, certifications, and class codes are updated ahead of renewal, our underwriters can assess risk accurately and keep policies moving forward without delays. This proactive step helps avoid back‑and‑forth corrections, prevents mid‑term changes, and ensures coverage is correct from day one.

New features to help you manage renewals

We’ve updated the Renewals table in the State Fund Online broker portal to make renewals easier to track and complete. Here’s what’s changed:  

  • A defined renewal window. You can now submit renewal updates starting 60 days before the effective date, and up to 9 days before inception. After that, the system locks autorenewal edits and any changes must go through customer support as mid-term adjustments. This eliminates the confusion caused by early update attempts.
  • Clearer timing in the final 9 days. Autorenewals now become active 9 days before effective date, so some policies will leave the Renewals list sooner than before. We renamed the “Due in 0-9 days” filter to “Expires in 0-9 days,” and added a note at the bottom of the table that flags when a policy has already renewed and moved to the Policies list, so you’ll know at a glance why an expected renewal is no longer there.
  • Easier navigation. The “Renewals List” table is now simply “Renewals.” New date filters let you triage the most urgent renewals first instead of scanning a long list. “Coverage Period” is now “Renewal Date,” and “Actions” is now “Renew Online,” with clearer icons and labels.
  • Automated renewal reminders. We’re now sending automated reminder emails ahead of your clients’ upcoming renewals, so policy updates stay on your radar. Simply log into State Fund Online to review and update policyholder information.
